Privacy Policy
Last updated: September 2, 2026
This Privacy Policy explains how Host Fleet Pro LLC (“Host Fleet Pro,” “we,” “us”) collects, uses, and shares information when you use our website and software (the “Service”). By using the Service, you agree to this Policy.
1. Information We Collect
- Account information: your name, email address, and password (stored securely; we never see your password in plain text).
- Business & fleet data you enter: vehicles, reservations, expenses, tolls, payouts, and records about your investors, staff, and customers that you choose to input.
- Payment information: processed by Stripe. We do not store your full card number; we receive limited billing details (e.g., last 4 digits, plan, status) from Stripe.
- Location data (optional): if you connect a Bouncie GPS device, we receive vehicle location data to display it in the Service.
- Usage & device data: basic technical information such as log data, browser type, and actions in the app, used to operate and improve the Service.
- Communications: emails you send us (e.g., support requests).
2. How We Use Information
- To provide, operate, secure, and improve the Service.
- To process subscriptions and payments and prevent fraud.
- To send account, transactional, and support emails (e.g., password setup and reset).
- To respond to your requests and provide customer support.
- To comply with legal obligations.
We do not sell your personal information.
3. How We Share Information (Service Providers)
We share information only with service providers who help us run the Service, under agreements requiring them to protect it:
| Provider | Purpose |
| Stripe | Payment processing & subscription billing |
| Google Firebase / Google Cloud | Authentication, database, and hosting of app data |
| Netlify | Website and app hosting |
| Postmark (ActiveCampaign) | Sending transactional emails |
| Bouncie | Vehicle GPS data (only if you connect it) |
We may also disclose information if required by law, to protect our rights, or in connection with a merger, acquisition, or sale of assets. Integrations you authorize (e.g., Turo, HostQuotePRO, QuickBooks) exchange data as you direct.
4. Data Retention
We keep your information for as long as your account is active or as needed to provide the Service. After account closure, we retain data only as required to comply with legal, tax, or accounting obligations, then delete or anonymize it. You may request deletion (see “Your Rights”).
5. Security
We use industry-standard measures to protect your data, including encryption in transit, access controls, and provider-level security. Each customer’s data is logically isolated. No system is 100% secure, but we work to protect your information and to promptly address any issues.
6. Your Rights
Depending on where you live (including under the CCPA in California and the GDPR in the EU/UK), you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, email support@hostfleetpro.com. We will not discriminate against you for exercising your rights.
7. Cookies & Local Storage
We use essential cookies and browser local storage to keep you signed in and remember basic preferences. We do not use them to sell your data. You can control cookies through your browser settings, though disabling them may affect functionality.
8. Children
The Service is not intended for anyone under 18, and we do not knowingly collect data from children.
9. International Users
We are based in the United States and process data there. If you access the Service from outside the U.S., you consent to the transfer and processing of your information in the U.S.
10. Changes to This Policy
We may update this Policy from time to time. We will post the updated version here and, for material changes, provide reasonable notice.
